The Engaging Agent respects your privacy. This policy explains what personal information we collect through theengagingagent.com and our related booking, payment, and service processes, how we use it, and how we protect payment information.
Information we collect
When you contact us, subscribe to our emails, book an appointment, make a purchase, or work with us, we may collect your name, email address, phone number, business information, appointment details, messages, and information you choose to share about your marketing or website.
If you become a client, we may also receive materials and account access you provide so we can deliver the agreed services. Our website and service providers may collect technical information, such as your IP address, browser information, pages visited, and cookie data.
When you make a payment, we receive information needed to identify and manage the transaction, such as the amount, date, payment status, and relevant billing details.
How we use your information
We use personal information to respond to inquiries, schedule and deliver services, process purchases and refunds, provide customer support, send service-related messages, maintain business records, and protect our website and transactions from misuse.
If you subscribe to marketing emails, we use your contact information to send them. You can unsubscribe using the link in an email or by contacting us.
Depending on the activity, we process information to fulfill a contract or take steps you request before entering one, meet legal obligations, pursue legitimate business interests such as securing and improving our services, or act on your consent where required.
Who receives your information
We share information with providers that help us operate the website, manage appointments, communicate with you, and deliver services. Stripe processes payments made through our website. Wise handles payments from our monthly clients. We share the information each provider needs for the applicable payment, such as your name, billing details, invoice information, and transaction amount. Stripe and Wise also handle information under their own privacy notices.
We may disclose information when required by law or when necessary to protect our rights or prevent fraud. We do not publish client materials or identifying details in our marketing without permission.
Payment and data security
The Engaging Agent uses an encrypted HTTPS connection for its website and limits access to client and transaction information to what is needed to operate the business and provide our services.
Website payments: Credit and debit card payments made through our website are collected through Stripe’s payment flow. Card details entered there are transmitted to Stripe for processing. The Engaging Agent does not collect or store your full card number or card security code.
Monthly client payments: Payments for ongoing services are handled through Wise. Payment details you provide through Wise are transmitted and handled through Wise’s payment process. We retain the invoice and transaction information needed to manage your account and business records.
Please enter payment information only through the payment process provided for your transaction. Do not send card numbers, security codes, bank login credentials, or passwords by email, message, or general website form. If you believe you have sent sensitive information to us in error, contact Lindsay@theengagingagent.com.
No method of transmitting or storing information can be guaranteed completely secure.
Client account access
If you give us access to an account so we can provide a service, we use that access for the agreed work and limit it to what is needed. Please use the account’s designated access or invitation features where available rather than sending passwords by email.
Cookies
Our website may use cookies or similar technology to make the site work, understand its use, and support features you choose to use. Where consent is required for optional cookies, you can make your choice through the website’s cookie controls. You can also manage cookies in your browser settings.
How long we keep information
We keep inquiries from people who do not become clients for up to 12 months after our last communication, unless we need them longer to address a specific request or dispute.
We keep client communications and project materials for up to two years after our work together ends, unless a longer period is needed for an ongoing matter or legal obligation. We remove access to client accounts when it is no longer needed to provide the agreed services.
We keep invoices, payment records, and other records that form part of our required business administration for seven years, in accordance with Dutch recordkeeping requirements.
If you subscribe to our marketing emails, we keep your contact information until you unsubscribe. We then remove you from the active mailing list, although a limited record of your unsubscribe request may be retained so we can honor it.
When a retention period ends, we delete the information or remove identifying details, unless we are required or permitted to keep it longer.
International processing
Some of our service providers may process information outside the Netherlands or the European Economic Area. Where applicable, we rely on appropriate safeguards required by data protection law for those transfers.
Your choices and rights
Depending on where you live, you may have the right to request access to your personal information, correct it, delete it, restrict or object to certain uses, or receive a portable copy. Where we rely on consent, you may withdraw it at any time.
You may also lodge a complaint with a relevant data protection authority, including the Dutch Data Protection Authority.
